Data Protection Declaration

This data protection declaration is intended to inform the users of the Ombudsman of Private Insurance and of Suva website about the type of personal data we collect, for what purpose and how this data is used.

We take the safety of your privacy and the protection of your personal data very seriously. Our Ombudsman Office is aware that the handling of personal data is a sensitive matter. We handle personal information with utmost care.

If you contact the Ombudsman of Private Insurance and of Suva, you agree to your personal data being processed in accordance with this data protection declaration.

1. What type of data do we process?

We process the personal data that we receive from you or your representative in the context of an enquiry, a complaint or a request for mediation. This includes information that you have given us verbally as well as information that we gather from the documents you have submitted to the Ombudsman Office.

When contacting the involved insurer during a mediation procedure, we may also process data relating to you that we have received from the insurance company to which your submission relates.

In certain cases, we supplement your personal data with information from other sources, such as publicly available data search engines or telephone directories.

2. For what purpose do we process your data?

We process your data in order to carry out our duties in accordance with the rules of the Ombudsman Office, i.e. to determine whether an enquiry falls within our competence, and if it does, to look into your complaint and, if the conditions for carrying out a mediation procedure are met, to carry out a corresponding procedure.

3. Access to and disclosure of your data

The employees at the Ombudsman head office in Zurich and the branch offices of the French-speaking and Italian-speaking parts of Switzerland have access to your data. They are bound to secrecy.

On the basis of the rules of our Foundation, data relating to you may be transferred to the involved insurance company and are then no longer subject to this data protection declaration.

Service providers called in by us may have access to your data for a short period of time for the purpose of maintaining and controlling our data processing systems and in connection with the technical and administrative maintenance of the Ombudsman Office. These service providers are sworn to secrecy by us.

If you submit your enquiry, complaint or request for mediation by telephone, in writing or electronically (via email or the upload function available on our website), your data will be stored in our case management system on our server in Switzerland.

The transmission of information via the Internet involves certain security risks. We cannot accept any responsibility for the security and confidentiality of data submitted electronically.

Important note: Please note that the proceedings before the Ombudsman Office are confidential and that any information about individual cases, which might allow parties to the proceedings to be revealed, are not disclosed to third parties (art. 8 of the Ombudsman Office’s Rules).

Web analytics

To collect information about how visitors use our website and standard web log information, we use Usermaven, a web analysis service. We do this to determine which areas of our website are being visited.

We do not use cookies or other techniques, that intend to trace the individual user’s access behaviour. Information is only processed in a way that does not identify anyone. Personal data is not passed on to third parties. Prior to saving, IP addresses will be made anonymous. IP address analysis is performed only if the maintenance of IT security requires it.
